Produce Log Report

Prerequisites

  • Set the Project Budget Base. This includes the contract total cost, budget distributed to control accounts, budget set aside for management reserve, and any undistributed budget.
  • Enable the Change Control Log.
  • Implement the Change Control Workflow Process to manage changes to the budget data. All control account and subordinate work package changes are first modeled in BOEMax and once approved, the changes are merged into EVMax to maintain the budget data. For these changes, the change numbers are automatically assigned at the control account level. The workflow process automatically logs the debits and credits to the project budget base values. Other project level changes to the contract budget base such as contract modifications are also recorded with assigned change numbers. All these recorded transactions provide the source data for the log report.

These steps assume you don't have an existing Log Report template set up. Once you create a report template, you can select the template to auto populate the report settings.

  1. Select Reports > Log in the Navigation Menu. A separate Reporter window displays. The left pane displays the General output options for the report. The right pane displays an empty base framework to create a custom pivot report.
  2. Set the General output options.
    1. Select your project from the Project dropdown.
    2. Accept the default Account option from the Run By dropdown. This produces a log report with the control account and subordinate work package changes.

      Tip:

      Selecting Project from the Run By dropdown produces a log report of just the project level changes. If you want to produce a log report of control account and project level changes, select All instead.

    3. Select the structure codes you want to add to the report from the Structure dropdown. This determines the available structure fields to build the pivot report. Available options include the WBS, Control Account, Resources, and any user defined code structures. The log report always includes the work package field.
    4. Select the level of detail for the structure from the Level dropdown.
    5. Click Add. The structure is added to the structure list.

      Tips:

      Recommend adding the Control Account level 0 and then the Resources at the lowest level for your project's resource structure. As desired, add other code structures you want to include in the report.

      To delete a structure from the list, select the line item and click Remove.

  3. Click Run Report. The right pane displays a set of data field options at the top with a base layout you can use to build the report rows and columns. This includes the log data fields.
  4. Build the pivot report rows. Drag the fields you want from the top of the right pane to the section labeled "Drop Row Fields Here." For example, drag fields such as the Control Account, Work Package, Resource, Debit Acct, and Credit Acct to create the row details. The right pane updates to include the line items for the selected fields.
  5. Build the pivot report columns. Drag the fields you want from the top of the right pane to the section labeled "Drop Column Fields Here." For example, drag the Period field to create the column detail. The right pane updates to include the columns for the selected fields.

    Tips:

    To change the layout, simply drag a row or column field back to the top of the right pane.

    You can also apply sorts and filters to the row and column fields - simply click on the heading field or heading field filter icon.

  6. Select the pivot cells for the row and column data. Drag the fields you want from the top of the right pane to the section labeled "Drop Data Items Here." For example, drag the Total field to populate the data cells. The right pane updates to include the selected field values.
  7. Optional. If you want to save your report as a template, click Save in the Ribbon Menu. The Template Name dialog box displays.
  8. Enter a Name for the template and click Save. The next time you produce a log report, you can select the template from the Template dropdown in the General output options. You can always modify the template auto populated settings as needed.

    Tip:

    If you make changes to a report template you want to keep, click Save in the Ribbon Menu. Or, if you want to create another template using your changes, click Save As in the Ribbon Menu.

  9. Optional. Click the Export icon to save the report to a Microsoft Excel file (.xlsx or .xls).
  10. Close the Reporter window to return to EVMax.
